What is Fathom?

Fathom is an AI meeting assistant for recording, transcription, summaries, clips, search, and follow-up. It is notable for an individual Free plan that currently includes unlimited recordings and transcriptions. Paid plans extend the product into advanced summaries, generated action items, cross-call intelligence, team libraries, CRM field updates, deal views, and coaching.

That free allowance makes Fathom easy to evaluate, but “unlimited capture” should not be the only decision criterion. Buyers still need to test supported platforms, participant consent, sharing, transcript accuracy, calendar dependence, retention, and how meeting content is used for in-house AI improvement.

Recording and post-meeting workflow

Fathom can join supported virtual meetings through a bot. Its current plan page also lists bot-free capture as a Mac beta. Bot capture is easier for participants to see but can be blocked by waiting rooms or external-app policy. Local capture removes the extra attendee but places more responsibility on the user to disclose recording and confirm that the correct microphone and system audio are being captured.

The product creates a transcript and automated summary, lets users clip important moments, and supports search across calls. Premium adds advanced meeting templates, AI action items, a conversational assistant, and a custom bot. Team plans provide shared search, folders, comments, playlists, and alerts. Business adds CRM field sync, deal context, custom summaries, coaching metrics, and scorecards.

The useful unit is not a completed transcript. It is a verified handoff. Check that a follow-up email reflects what was agreed, that action items have the right owner and date, and that a CRM update cannot silently replace a correct field with a hallucinated value. Keep human approval between AI output and external communication.

Consent and default sharing

Fathom's privacy policy reminds users that some jurisdictions require consent from every participant and places responsibility on the operator to obtain required permissions. A visible bot can provide notice, but a bot name alone is not always affirmative consent. For local capture, participants may see no additional attendee.

Add disclosure to the calendar invitation, announce capture before it begins, and offer a non-recorded alternative. Test the in-meeting banner and any plan-level ability to disable or customize it. Disabling a banner for aesthetics can weaken the participant notice process.

Fathom can share a meeting with participants based on account configuration and available email addresses. Team libraries, playlists, CRM integrations, and LLM integrations create additional audiences. Review automatic sharing, link access, folder permissions, and every downstream destination before enabling company-wide capture.

Privacy, model training, and retention

Fathom's privacy policy defines meeting content broadly: audio, video, transcripts, notes, attendee names and email addresses, and calendar information. It states that, depending on account settings, Fathom may create de-identified data from meeting content and use it to train, improve, and customize in-house AI models. Users can opt out in account settings.

The same policy says Fathom does not authorize third parties such as OpenAI, Anthropic, or Google to use personal information or meeting content to train their models. These are two separate claims: third-party no-training does not mean Fathom itself never uses de-identified content. Security-conscious teams should verify and document the account or organization setting before the first meeting.

Fathom stores personal information as needed for the service and legal obligations. Account deletion requires an active request; merely stopping use leaves the account and content in place. The policy says Fathom uses commercially reasonable efforts to delete recordings and personal information within 30 days of a deletion request, while acknowledging that it cannot guarantee completion within that period in every case.

Enterprise offers custom data-retention programs, SSO, SCIM, organization controls, and a signed BAA option. Test deletion of source media, transcript, summary, clips, playlists, team copies, CRM fields, exports, and connected LLM surfaces.

Plans and cost

The official Fathom pricing page lists Free and Premium for individuals, plus Team, Business, and Enterprise. Free includes unlimited capture and transcription, summaries, clips, and search. Premium adds advanced summaries, generated action items, meeting chat, and customization. Team adds collaborative meeting intelligence. Business is oriented toward sales operations, including field sync and coaching. Enterprise adds procurement and governance.

Annual prices shown at review time were $16 per month for Premium, $15 per user for Team with a two-user minimum, and $25 per user for Business; monthly billing is higher. Verify current prices, trial terms, feature rows, and domain-based limits before purchase.

Fathom is a strong evaluation candidate for individuals who attend many supported meetings and want a useful free archive. Teams should move beyond the free headline and test permissions, data settings, CRM accuracy, and governance.
