What is Fireflies.ai?

Fireflies.ai is an AI meeting platform that captures conversations, transcribes them, creates summaries and action items, and turns the resulting archive into searchable or automated work. Its Fred notetaker can join supported meetings from a calendar, users can invite it manually, and the product also accepts recordings from browser, mobile, extensions, uploads, and integrations.

The distinguishing feature is workflow breadth. A transcript can feed AskFred questions, AI Skills, topic tracking, team analytics, CRM records, Slack messages, tasks, or API workflows. That can reduce post-meeting administration, but it also increases the number of places where an incorrect or over-shared result can travel.

Capture, summaries, and conversation intelligence

Fred can join Zoom, Google Meet, Microsoft Teams, and other supported services as a visible participant. Calendar auto-join rules determine which internal or external calls it attends. The platform creates a timestamped transcript, summary, action items, speaker and talk-time information, and a recording according to plan and configuration.

AskFred lets a user ask questions about meeting content. AI Skills can produce structured outputs for recurring workflows. Business and Enterprise features expand into individual and team conversation intelligence, while integrations can route content to CRM, project, storage, and collaboration systems.

Treat every generated artifact as a proposal. Verify speaker attribution, commitments, quantities, objections, sentiment-like interpretations, and action owners. Place an approval step before an AI summary overwrites a CRM field or creates a task. Conversation analytics can be useful for coaching, but they should not become an unexplained employee-performance score.

Consent and sharing controls

A visible Fred participant helps disclose capture, but it is not sufficient in every jurisdiction or company. Fireflies can send a pre-meeting notification and consent request, including an opt-out link. Configure this before auto-joining external calls, add notice to calendar invitations, announce the recording, and preserve a non-recorded path when someone declines.

Meeting owners control access to recaps and content. A record can be private, limited to participants or teammates, or shared by link. Enterprise can add password protection and link expiration. Review both the default and per-meeting setting: a harmless recurring meeting can become sensitive without its invite list changing.

Integrations create separate access boundaries. Posting a summary to a broad Slack channel, syncing full notes to a CRM, or exporting to cloud storage may outlive the Fireflies access rule. Inventory every destination and test deletion across those systems.

Privacy, vendor retention, and deletion

Fireflies' current privacy policy says meeting content is not used to train internal or external AI models. It also describes a zero data retention policy for meeting audio, video, transcripts, and summaries processed by third-party vendors: vendors do not store content after processing, access it after service completion, or train models on it.

This does not mean the Fireflies account has no archive. The product stores content so users can search, replay, share, and integrate meetings. Current plan materials assign storage allowances, and the account owner can delete meetings. Account-associated personal information is generally deleted within 30 days after account closure, subject to the policy and applicable agreements.

Custom automatic deletion is an Enterprise feature. The auto-delete guide offers periods from one week to one year for future meetings and allows administrators to enforce a workspace policy. It does not retroactively apply when first enabled. Enterprise also offers private storage and transcript-and-summary-only operation, which can reduce raw media retention.

Test whether deletion removes audio, video, transcript, summary, AI outputs, public links, integrations, exports, and backups. Participants without accounts are instructed to ask the meeting host for deletion, so the organization needs an internal request process.

Plans, storage, and usage economics

The official Fireflies pricing page lists Free, Pro, Business, and Enterprise. Pro adds downloads, AI apps, more storage, and integrations. Business adds unlimited storage in the current presentation, video, conversation intelligence, and team analytics. Enterprise adds rules, SSO, HIPAA or other compliance options, private storage, custom retention, transcript-only mode, and advanced roles.

Do not treat “unlimited transcription” as unlimited everything. Stored minutes, uploaded-file rate limits, meeting length, video, AI-credit actions, and integration access have separate rules. Fireflies' current official pages also disagree on the Free storage figure: the live pricing output presents 800 minutes per seat while a recent storage help article states 400 minutes. Verify the signed-in entitlement and contract before publishing an internal cost model.

Include storage growth, AI-credit consumption, automation volume, seats, and cleanup effort. A lower plan can transcribe many meetings but become operationally awkward if the team constantly deletes old records to make space.

Who should choose it?

Fireflies fits teams that want meetings to drive repeatable downstream workflows and that can govern a shared conversation archive. Its current no-training commitment is clearer than policies that permit internal training by default, but the archive and integrations still require access and retention controls.
