What is Motion?
Motion is an all-in-one productivity and work-management system built around automatic scheduling. A user creates tasks with duration, deadline, priority, and availability rules. Motion places them into open calendar time, then recalculates when meetings move, new work appears, or capacity changes. Projects, docs, dashboards, meeting notes, booking links, and AI chat now surround that scheduling engine.
The product solves a different problem from a traditional meeting assistant. Its main value is turning commitments into time blocks, not creating the most accurate transcript. Motion's AI Notetaker can convert meeting decisions into tasks, but those tasks matter because the system then schedules them.
How automatic scheduling works
Motion's auto-scheduling guide says the engine considers open availability, task duration, chunking, deadlines, priorities, and changes to calendar events. A newly added meeting can move an existing task to the next acceptable slot. Longer work can be divided when chunking is enabled.
ASAP is a special state that overrides normal ordering signals. Hard deadlines receive strong protection, and the documentation warns that Motion may place work outside normal hours when no in-hours time remains. This is logical for deadline completion but can create an unhealthy schedule when durations are optimistic or every due date is marked hard.
The system is only as good as its inputs. Estimate effort honestly, distinguish external deadlines from preferences, configure work hours and flexible exceptions, and avoid making every task high priority. Run a weekly capacity review for work that repeatedly moves; constant rescheduling can reveal an impossible workload rather than a calendar problem.
Projects, meetings, and AI credits
Motion includes task and project management, timelines, recurring workflows, dashboards, docs, wiki-like notes, booking links, and AI chat. The Meeting Notetaker can summarize a call and create tasks. Business AI adds team capacity planning, advanced reporting, Gantt-style timelines, permissions, time tracking, central billing, and higher AI-credit allowances.
AI credits power features such as chat and meeting summaries. The current Pro AI plan includes 7,500 credits per seat per month; Business AI includes 15,000. Overage pricing differs by plan. Record the credit cost of a typical month rather than comparing only seat price.
Meeting-generated tasks require approval. Verify the owner, duration, deadline, priority, and privacy before they enter the schedule. A wrong two-hour estimate or invented deadline can displace real work across the entire week.
Calendar access and conflict behavior
Users can connect Google, Microsoft, and iCloud calendars. Connected busy events shape availability. Workspaces let each member choose which personal or work calendars influence scheduling. Frequently Met With calendars can expose colleague availability without automatically changing the user's task placement.
Motion documentation describes bidirectional event sync: changes in Motion can appear in the external calendar and vice versa. Users can choose read-only versus write access for some connections and decide the main destination for new events. Test these scopes with a non-production calendar. Confirm how cancellations, recurring events, time zones, all-day events, private event titles, travel, and duplicate accounts behave.
Keep personal calendar details from becoming unnecessarily visible to teammates. Free/busy is usually enough for capacity. Disconnect old accounts and revoke tokens during offboarding.
Privacy and model-training documentation
Motion's security page says AI inputs are processed with workspace context, that Motion does not and will not train AI models using customer data, and that third-party LLM providers do not train on inputs or outputs. It says inputs and outputs may be stored temporarily for performance and debugging.
Other official documents use broader language. The June 2025 privacy policy lists “training and developing machine learning algorithms” among information uses. The master subscription agreement says Motion may use Service Data in anonymized form, such as numerical conversion, to train machine-learning models supporting service features. These statements may distinguish generative AI from proprietary scheduling ML or personal data from anonymized Service Data, but the public wording does not fully resolve that boundary.
Do not guess for a sensitive deployment. Ask Motion to state in the order form or data-processing documents which customer content, calendar data, meeting content, prompts, outputs, usage data, and anonymized data can improve which models; how to opt out; and which subprocessors receive it.
The privacy policy says personal information is retained for the account duration and up to one year after deletion unless earlier deletion is requested, after which data is deleted or de-identified from active systems and backups. Test the verified deletion process and any team-level export before adoption.
Plans and total cost
The official Motion pricing page currently lists Pro AI at $19 per seat per month and Business AI at $29 with annual billing; monthly billing is higher. The onboarding documentation says seat packages are sold as 1, 3, 5, then increments of 5. A six-person team may therefore buy ten seats.
Model the paid seat package, unused seats, AI overage, calendar rollout, project migration, and schedule-maintenance time. A free trial should span at least one realistic deadline cycle, not a lightly populated demo week.
Who should choose it?
Motion fits users who want the system to decide when work should happen and who will maintain the inputs that make that decision credible. It is not the best match for people who mainly need meeting transcription or a manually controlled calendar.
