What is Reclaim AI?
Reclaim AI is a calendar optimization product for focus time, habits, tasks, buffers, scheduling links, and flexible meetings. It connects to existing Google or Outlook calendars and continuously finds acceptable time for smart events. When a conflict appears, it can move lower-priority blocks while protecting more important commitments.
This is different from a task manager that merely shows due dates. Reclaim turns goals into calendar reservations and can synchronize availability across personal and work accounts. It is also different from an AI meeting notetaker: it optimizes when meetings happen but does not make transcription its core product.
Focus time, habits, tasks, and buffers
Focus Time lets a user set a weekly goal and preferred hours. Reclaim places flexible blocks, defends them as the calendar fills, and changes their visibility as the time approaches. Habits schedule recurring activities within chosen windows. Tasks from supported sources can receive duration and deadline data, then become time blocks. Buffer Time protects transitions after meetings.
Priorities matter. A flexible block should move before a critical client event, but it should not vanish from the week. Test how Reclaim treats over-capacity, short fragments, all-day events, private events, travel, time zones, and late changes. If focus time repeatedly fails, the team may have a meeting-load problem that no optimizer can hide.
Calendar titles and visibility require policy. A personal health appointment can block availability without exposing its title to coworkers. Review what is copied between calendars, what invitees see, and whether a task title is appropriate for a shared work calendar.
Smart Meetings and AI agents
Smart Meetings convert recurring meetings into flexible events that monitor and resolve conflicts according to attendee rules. Scheduling Links expose availability with priorities. Team features add out-of-office calendars, delegated access, organization-aware scheduling, analytics, and meeting-quality recommendations.
The current product packages scheduling behaviors as AI agents for Focus Time, Habits, Buffer Time, Smart Meetings, and Meeting Quality. Reclaim Chat and integrations with ChatGPT, Claude, and MCP can analyze or change a schedule when enabled. Every action that writes to a calendar should be visible, reversible, and scoped to the intended account.
For recurring meetings, define the organizer, quorum, acceptable windows, priority, and maximum movement. A reschedule that satisfies free/busy but breaks a customer's time zone or an employee's accommodation is not a successful optimization.
Calendar sync and permissions
Reclaim connects Google and Outlook calendars and can sync events or availability across accounts. The free tier has limited connected calendars and syncs; paid plans expand them. Integrations include task systems, chat, and video meeting services depending on plan.
Start with one work calendar and a sanitized task source. Review OAuth scopes and choose whether copied events reveal full details or only a busy block. Test creation, movement, cancellation, recurrence, daylight-saving transitions, and disconnection. Remove delegated access and revoke tokens immediately when a user changes role or leaves.
Scheduling links and Smart Meetings can affect people who do not hold a Reclaim seat. Current pricing uses “Attendee Users” for some multi-person Smart Meetings. Count external and internal attendees under the exact billing definition before a team rollout.
Privacy, AI processing, and hosting
Reclaim's privacy policy says it will not use or authorize providers to use personal data—including calendar and app data—to train large-language or other generative AI models unless the user separately consents or explicitly opts in. Aggregated and de-identified information may be used to analyze and improve the service.
The May 2026 AI disclosure says core optimization uses classic machine learning and privately hosted models within Dropbox's secure environment. External LLM features run only after end-user opt-in and are governed by zero-data-retention and no-training commitments. Ask which features use which path and what happens to prompts, outputs, memories, and calendar context.
Reclaim's security page says infrastructure is hosted in AWS us-east-1 and us-east-2 in the United States, with encryption in transit and at rest. The company states that staff do not inspect calendar data without permission except rare critical support needs. Standard US hosting may be a procurement constraint for organizations requiring regional residency.
Users can delete data through self-service processes. Test account deletion, team removal, calendar token revocation, copied events, AI memories, analytics, integrations, and shared scheduling links. Deleting the Reclaim account may not remove events already written into external calendars.
Plans and pricing
The official Reclaim pricing page currently lists Free, Starter at $12 per seat per month, Business at $18, and Enterprise by quote. Free includes five AI agents and core scheduling. Starter expands agents, links, integrations, and task recommendations. Business adds larger allowances, out-of-office coordination, delegation, and team controls. Enterprise adds unlimited agents, SSO, SCIM, domain controls, broader support, and organization features.
The page also displays an Attendee User launch promotion ending July 31. Because this review date is August 7, treat that promotion as expired unless Reclaim confirms an extension in checkout or a written quote. Model paid seats, attendee users, agent limits, scheduling range, calendar syncs, integrations, and support together.
Who should choose it?
Reclaim is a strong fit when the tools for tasks and calendars already exist but the schedule lacks protected focus and conflict resolution. It is less appropriate when the real need is a transcript or a single all-in-one project workspace.
