What is Avoma?
Avoma is an AI meeting assistant and conversation platform aimed at customer-facing teams. It can join or capture meetings, record audio and video, transcribe discussions, generate notes and follow-up emails, identify topics and action items, and save selected information to customer relationship management systems. Broader modules add scheduling, conversation intelligence, sales coaching, pipeline analysis, forecasting, and lead routing.

Capture, transcription, and notes
Avoma integrates with Google and Microsoft calendars and supports services including Zoom, Microsoft Teams, Google Meet, Webex, and other conferencing or dialer platforms. Depending on the setup, its bot can join a meeting or the desktop application can capture a call locally without a visible bot.
Botless does not mean local-only processing. Avoma's local recording consent policy says microphone and system audio are transmitted over an encrypted connection, processed on Avoma servers, and stored there with transcripts and AI output; the audio is not retained on the user's device after transmission.
After a meeting, users receive a transcript, summary, topics, action items, and potentially a drafted follow-up. Custom note templates and topic rules can help sales, success, recruiting, or research teams capture consistent fields. Ask Avoma provides question answering over eligible meeting context. These outputs remain probabilistic: names, acronyms, numbers, commitments, objections, and ownership can be wrong or assigned to the wrong speaker.
Use a review step before sending a recap or writing to a CRM. The meeting owner should verify decisions, action owner, due date, quoted price, contractual language, and any health or financial information. Link the corrected record to the source moment where practical.
CRM and revenue workflows
Avoma advertises native integrations with systems such as Salesforce, HubSpot, Zoho, Pipedrive, and Copper, together with dialers, Slack, Microsoft Teams, Zapier, APIs, and webhooks. Base meeting plans can save notes to CRM records, while advanced field updates, deal risk, methodology tracking, forecasting, win-loss analysis, and related workflows are tied to revenue intelligence or other add-ons under the current pricing structure.
Automation can reduce duplicate entry, but a confident wrong value can be more damaging than a missing field. Start with low-risk fields and require review for pricing, next step, close date, stage, competitor, security requirement, and legal commitment. Define which system is authoritative and how corrections flow back. Monitor integration failures, duplicate contacts, mismatched accounts, and field permissions.
Conversation scoring should support coaching, not become an unexplained employment decision. Document the rubric, let managers inspect source calls, account for language and role differences, and provide a way to challenge incorrect transcripts or scores.
Pricing and licensing
The Avoma pricing page currently offers a 14-day trial of the Organization plan with add-ons enabled and no credit card required. After the trial, Startup, Organization, and Enterprise base plans charge per recorder seat. Users who only watch recordings, read notes or transcripts, comment, and collaborate can be free.
This distinction is useful when a small number of customer-facing employees record meetings and a larger group consumes the results. However, advanced conversation intelligence, revenue intelligence, and lead routing are separate cost layers. Enterprise capabilities such as stricter access controls, signed DPAs, SSO, and custom retention can also require the corresponding plan.
Model cost using real roles: recorders, managers, viewers, administrators, and users of each add-on. Include onboarding, CRM maintenance, consent changes, and quality review. Avoid copying exact old prices into procurement documents; current plan names, limits, annual discounts, minimums, and add-ons should be confirmed at purchase and renewal.
Consent, privacy, and security
Recording laws and privacy requirements vary by participant location and context. Avoma's consent documentation describes organization-wide policies, calendar notices, emails, chat messages, visible indicators, acknowledgments, and a permission-required mode that can stop recording when a participant declines. These controls help implement policy but do not provide legal advice or replace the customer's lawful basis.
The privacy policy explains that customers and meeting participants or call recipients may access recordings, transcripts, and analysis, and may share them with colleagues or third parties. Avoma uses subprocessors and retains different data for periods based on service, legal, security, and business needs. The public security page states that customer data, including recordings and transcripts, is encrypted in transit and at rest and that production infrastructure is hosted in AWS facilities in the United States.
Before rollout, review the DPA, subprocessor list, data region, retention and deletion, backup behavior, administrator access, public-link controls, SSO, audit logs, and incident terms. Apply the shortest practical retention and restrict access by team and meeting type. Sensitive internal investigations, medical discussions, legal advice, personnel matters, and credentials may require recording to be disabled entirely.
