What Humata is

Humata is an AI document-question-answering product focused on PDFs and team knowledge. Users upload files, ask questions, request summaries, and follow citations back to supporting content. Team and Enterprise tiers add controls such as OCR, folder and department permissions, support, and security capabilities.

This is a retrieval-and-generation system over selected documents, not an authority on what the document means. It can accelerate reading while still omitting a footnote, choosing the wrong passage, or rewriting a qualified statement too confidently.

Build a verifiable document workflow

Start with a narrow document set and define the question. Ask Humata to return the page and a short supporting excerpt. Open the rendered PDF and compare wording, table labels, units, exceptions, and surrounding paragraphs.

Test clean digital text and difficult material: scans, rotated pages, multi-column papers, tables, figures, equations, footnotes, appendices, handwriting, and documents with repeated section names. OCR errors enter the retrieval index and can make a fluent answer impossible to verify.

For multi-document work, require file-level attribution for each conclusion. An answer that combines a policy from 2024 with a superseding 2026 policy can be misleading even if both excerpts are copied correctly.

Team permissions and operational controls

The Team plan currently includes department- and folder-level permissions, OCR, and expanded support. Design folders around actual authorization boundaries, not convenience. A broad research folder can expose client, employee, legal, financial, or participant data to users who only need one project.

Test invitations, role changes, link sharing, downloads, exports, support access, account deletion, and employee offboarding. Verify whether removing a user revokes cached or shared copies. Use separate workspaces for unrelated clients when contractual confidentiality requires it.

Enterprise adds custom users and page capacity, SOC 2 access, an uptime SLA, and enterprise support according to current pricing. Confirm SSO/SAML, auditability, data location, DPA, backup, recovery, and incident terms in the actual agreement.

Current page-based pricing

Humata pricing currently lists Free at $0 for one user and 60 included pages per month. Expert is $9.99 per month, supports up to three users, includes 500 pages, and charges $0.02 for each additional page.

Team is listed at $49 per user per month, supports up to ten users, includes 5,000 pages, and charges $0.01 per additional page. It adds department and folder permissions, OCR, and stronger support. Enterprise is custom with unlimited users and negotiated page capacity.

Model scans, appendices, duplicates, revised versions, repeated uploads, OCR, and overage. Ask whether a page is charged at upload, indexing, reprocessing, or access, and whether unused pages expire. Put a budget owner on large batch imports.

Security, training, and retention

Humata's security page says the company is SOC 2 Type II compliant and uses AES-256 encryption at rest and TLS in transit. It describes SAML SSO, least-privilege procedures, incident response, business continuity, and third-party penetration tests.

The same page says user data is not used to train Humata AI models. It states document data used for the model is not retained beyond 30 days, while dashboard data remains accessible until the user requests otherwise. These are different stores and deletion triggers.

Review whether document text, embeddings, chats, citations, analytics, backups, and support records are all covered by the same deletion request. Confirm subprocessors, AWS/GCP/Supabase paths, regions, retention exceptions, recovery copies, and proof of deletion. A public security page supports procurement but does not replace a signed agreement for regulated work.

Accuracy and appropriate use

Do not use Humata alone to interpret medical, legal, safety, financial, or contractual obligations. A citation can point to the wrong edition or a section whose scope does not cover the question. Have a qualified owner approve high-impact conclusions.

Preserve the file version, checksum or stable identifier, question, answer, citation pages, reviewer, corrections, and final decision. Re-run a benchmark set after model or OCR changes. Track unsupported answers and retrieval failures, not only response speed.

Who should choose Humata?

Humata is a useful shortlist for teams that repeatedly question known PDF collections and need a more controlled workspace than a lightweight consumer tool. Its page-based meter makes costs concrete but requires volume planning.

Choose ChatPDF for a simpler no-registration start and document API. Choose SciSpace for a broader research suite with literature discovery and writing tools. Choose Elicit for systematic-review screening and structured evidence extraction. The AI research and data analysis category gives a shared OCR, grounding, deletion, and pricing test.

Strengths

  • Focused workflow for asking questions and summarizing uploaded documents with source grounding
  • Team tier adds OCR plus department- and folder-level permissions for shared document work
  • Publishes SOC 2 Type II, encryption, no-training, and document-retention information

Limitations

  • Usage is measured by pages and overage, so large or repeatedly processed document sets can raise cost
  • OCR, retrieval, and generated answers can miss footnotes, tables, figures, qualifiers, or conflicting passages
  • Dashboard data is retained until requested otherwise under current security FAQ, requiring an explicit deletion process

Best for

  • Analysts, researchers, educators, and teams working repeatedly with known PDF collections
  • Organizations that need folder permissions and OCR beyond a simple consumer PDF chatbot
  • Buyers willing to validate page citations and budget document volume

Not ideal for

  • Users who need broad academic discovery rather than answers over selected files
  • Regulated data use without approving Enterprise controls, DPA, providers, region, and deletion
  • Workflows that accept AI answers without comparison to the rendered document

Yes. Humata currently provides a Free plan for one user with up to 60 free pages per month. Expert, Team, and Enterprise raise page allowances, users, permissions, OCR, support, and security capabilities.

How does Humata charge for PDFs?

Current pricing gives each plan a monthly included-page allowance. Expert includes 500 pages and charges $0.02 per additional page; Team includes 5,000 pages and charges $0.01 per additional page. Enterprise usage is custom.

Does Humata train AI on uploaded data?

Humata's security page says it does not use user-provided data to train its AI models. It separately says document data used for the model is not retained beyond 30 days, while data visible in the dashboard remains until the user requests otherwise.
